About Supply Bids
School Supplies, though a small fraction of the budget, consume a disproportionate amount of time to bid and/or procure. Conducting your own supply bid is not cost-effective, and state contracts can be tedious and cumbersome. These contracts typically offer high pricing with many exclusions and price changes throughout the year. All bid work is done for co-op members including bid advertisements, bid mailings, bid openings, preparation of award letters, etc. We even maintain and make documents available online such as Business Registration Certificates, W-9s, and other bid documents such as stockholder certifications, affirmative action statements, etc.

Co-op members have peace of mind that all purchasing through our system is compliant with state purchasing regulations and general municipal law. Ed-Data has been administering co-ops in New York, New Jersey, and Connecticut for more than 40 years. Our service has been recommended by state monitors and has never been part of an audit finding. All bids are awarded by a school district within your state acting as the local education agency (LEA).
HOW IT WORKS
STEP I
We manage the entire bid process so you don’t have to. From bid advertisements and mailings, to bid openings, analysis and awarding. We comply with all New York State bidding laws.
STEP II
After the award stage is complete, we work with your staff (including onsite training) to set up budget codes, account code limits and access to our online procurement systems.
STEP III
Your staff will login to the online procurement system and enter quantities for schools supplies (and other bid items) needed for the upcoming school year.
STEP IV
Purchase requests can be reviewed by management for final approval/disapproval before orders are created to ensure internal controls are in place.
STEP V
Purchase orders can be printed directly from our system and delivered to your district for signing, or imported into all major accounting software. Requisitions can be entered through WinCapWEB for Harris School Solution customers.
STEP VI
Additional items can be ordered through the online procurement systems throughout the school year by staff members as often as needed.
